This tool helps Gideons International Pacific Southwest members coordinate campus Bible distribution shifts. We collect only what is needed to run accounts, schedules, and basic security. This page describes that practice in plain language. It is not legal advice.
Who operates this site
The Distribution Scheduler is operated by authorized Gideons organizers for the Pacific Southwest area in connection with LA college Bible distributions. It is a volunteer coordination tool, not a public social network or marketing platform.
What we collect
Depending on how you use the site, we may store:
- Account information — name, email address, password (stored as a one-way hash, not plain text), optional phone, camp, and related profile fields.
- Location preference — ZIP code and an optional campus distance preference, used to show nearby distributions.
- Shift enlistments — which events and shifts you sign up for, notes you choose to add, whether you are bringing Auxiliary (if applicable), and a coarse device class when you enlist yourself (for example iPhone or Mac — not a device model or advertising identifier).
- Security and operational logs — IP address, approximate time, user agent / device class (for example iPhone · Safari), last successful sign-in device, and outcome of sign-in and related account events (for example failed logins), so organizers can spot abuse and help with access issues.
- Session data — a session identifier so you can stay signed in while using the site.
- Device storage — limited non-secret preferences in your browser (for example theme, a “likely signed in” UI flag, and a short profile snapshot for faster load). These are not a substitute for the secure session cookie.
Why we collect it
- To create and approve member accounts and let you sign in.
- To coordinate who is serving on which campus shift.
- To contact you about your account or enlistments when needed (for example confirmations or password reset).
- To protect the service (rate limiting, reviewing suspicious sign-in activity, recovery after problems).
How it is used and stored
Account and schedule data are stored on the application server used for this site. Access is limited to the people running the service and the software required to operate it. Passwords are not stored in recoverable form. Organizers may view member and enlistment information needed for staffing and account approval. Security logs may include IP addresses and are intended for operational and protective use, not for advertising.
Automated emails (for example approval notices, shift confirmations, or password-reset links) are sent using the mail configuration set up by the operators. Those messages go to the address on your account (and, where designed, to organizer inboxes for coordination).
Who can see your information
Information is shared only as needed with authorized Gideons organizers for this ministry tool (approvals, rostering, security review). We do not sell personal information. We do not use this data for third-party advertising. Service providers that host the server or send email may process data solely to provide those technical services under the operators’ control.
Cookies and sign-in
After you sign in, the site sets a session cookie
named roughly gideons_session.
It is HttpOnly (not readable by page scripts),
marked Secure on HTTPS, and uses
SameSite=Lax. That cookie proves your session
to the server. If you choose “Keep me signed in,” the cookie is kept for a limited period; otherwise it
may end when you close the browser. Signing out clears the session cookie.
Your choices
- You may update profile fields available in the app (for example ZIP or Auxiliary preference).
- You may withdraw from shifts using the app’s enlistment tools where available.
- You may request access to what we hold about your account, or request correction or deletion, by contacting an organizer for this site (see below). Some records may be retained for a period for security, audit, or legal obligations.
- You may stop using the service at any time. Organizers may also disable or remove accounts when appropriate for ministry or security reasons.
Contact
For privacy questions, access requests, or deletion requests related to this scheduler, contact your Camp leadership or an organizer of this Distribution Scheduler (through the channels your camp already uses for ministry coordination). Do not send passwords by email.
Changes
We may update this policy as the tool evolves. The “Last updated” date at the top will change when we do. Continued use of the site after an update means you are using the service under the revised description.
